From Approved Estimate to Scheduled House Wash: The Details That Carry Over

A lot of house wash jobs go wrong in the gap between yes and the driveway. The estimator knew the house was stucco and needed a gentle wash. The customer said to skip the back patio. The spigot was on the far side behind the hedge. Then the job got written onto a schedule as “house wash, 18 Birch Ln,” and all of that stayed in the estimator's head. Closing that gap is about one thing: making the estimate and the job the same record.

The Estimate Is Where Details Start

Measuring from above is covered in Measuring Houses, Roofs and Driveways From the Satellite View. Those measurements are the first details that go onto the estimate.

In PressureWashingBossPro, estimates are built from your own service list: house wash, roof soft wash, driveway and walks, deck, fence, patio, gutter brightening, rust and gum removal, and anything else you offer. Job details go right on the estimate:

The estimator fills these in once, while the facts are fresh. The notes do not need to be long. “Stucco, go gentle on the front; skip back patio per customer; spigot behind hedge on right” tells the crew everything that matters in one line. The point is that whatever the estimator learned on the phone or on site ends up somewhere the crew will see it, rather than in a memory that fades by Friday.

Approval Online

The customer gets the estimate and approves it online. No printing, no signing a paper and taking a photo of it. If they have questions, two-way texting gets them answered quickly. If they go quiet, estimate follow-up emails nudge them without anyone having to remember.

Quiet estimates are common in residential washing. The homeowner wants to check with a spouse, compare a couple of quotes, or wait for payday. A polite follow-up a few days later catches many of them before they forget about you.

The Approved Estimate Becomes the Job

When the customer approves, the approved estimate becomes the scheduled job, and every job detail entered on the estimate carries onto it. Nobody retypes the square feet. Nobody rewrites the access notes. The job shows under the address on the office lists and on the crew's phone the same way it was quoted:

House Wash, Driveway · 3,800 sq ft · 2-story · Stucco · Soft Wash

The line items on the estimate become the line items on the job, so when the crew taps Complete, the invoice matches what the customer approved. What the customer said yes to is exactly what they are billed for.

Getting It on a Rig

Approved jobs wait to be scheduled, and the office assigns them to a rig and a day. On the Scheduled List, jobs show by day and can be filtered by rig. Auto-route sorts the day Closest First or Furthest First from the shop, and the order can be set by hand. A new approved estimate near a cluster of due yearly houses is a great fit for the same day.

Once scheduled, the customer gets automated reminders by text and email, and the alerts they chose in the customer app.

Templates Make It Faster

Estimate templates and packages let you save common combinations, like a house and driveway package or a house and roof soft wash. Pick the template, fill in the house's details and send. The template only fills in the services; the job details still come from the actual house, so every estimate stays accurate. Packages are covered in The House and Driveway Package: Bundling the Two Jobs Homeowners Ask For Together.

From One Job to a Yearly Plan

The details that carried from estimate to job stay on the address afterward. If the customer joins a yearly plan, set at 365 days between visits, next year's visit comes due on the Waiting List with every detail still there. The estimate you wrote this year is, in effect, the job sheet for every year after.

If something about the house changes, such as new siding or a new fence, update the address once and every future visit reflects it.

What It Saves

Keeping the estimate and the job as one record saves the retyping, but more importantly it saves the mistakes: the patio washed that the customer said to skip, the stucco hit too hard, the crew hunting for a spigot.
