From Approved Estimate to Scheduled Pressure Washing Job Without Retyping Anything

In a lot of pressure washing companies, the quote and the schedule live in different places. The quote is an email or a PDF. The schedule is a calendar, a whiteboard or a notebook in the truck. When a customer says yes, somebody has to copy the address, the services, the price and the notes from one to the other. Every copy is a chance for a mistake, and in spring there are a lot of copies.

The Retyping Problem

The approval itself is covered in Online Estimate Approval for Pressure Washing Customers. This article is about what happens right after.

Retyping causes the same problems over and over. The driveway gets copied but the walks do not. The gate code ends up on the quote but not on the calendar. The price on the invoice does not match the price on the estimate because somebody typed it from memory. None of these are big on their own, but each one costs a phone call, a callback or an awkward conversation about a bill.

Approved Becomes the Job

In PressureWashingBossPro, the approved estimate becomes the scheduled job. Everything on the estimate comes with it:

Nothing is retyped. The job looks exactly like the quote, because it came from the quote.

Putting It on a Rig and a Day

Once the job exists, the office schedules it on the dispatch board, which shows jobs by day and lets you filter by rig. Typical steps:

Because the job is already on the map, it is easy to see which other jobs are nearby and slot the new one into a day when the rig is in that part of town anyway.

Weather is the other big factor. Pressure washing schedules move with rain, wind and cold snaps, and approved jobs pile up fast after a wet week. Because every approved job already carries its details, moving it to another day is a change on the board, not a rebuild. The job card on the crew's phone follows, so nobody is working from an old printout. A quick text to the customer from the office lets them know the new day.

On the Crew's Phone

On service day, the job shows up in the crew app on the phone in route order. The job card shows the address with a navigation button and the job details under it: “House Wash, Driveway · 3,800 sq ft · 2-story · Vinyl · Soft Wash.” The access notes are right there too.

The crew taps Start, washes what was quoted, takes before and after photos and taps Complete. Customers get automatic on-the-way and arrived texts if they have turned those alerts on. When the job is completed, the invoice is created and a card on file can be charged. Because the invoice comes from the same lines as the estimate, the bill matches what the customer approved.

Recurring Jobs Keep Coming Back

For recurring work, the job does not end after one visit. If the estimate was for a yearly house wash or a monthly storefront, the job is set with a minimum number of days between visits: 365 for a yearly house wash, 30 for monthly storefronts and drive-thrus, 90 for quarterly HOA common areas. When the time comes, the next visit appears on the Waiting List, a live map and list of every visit that has come due, with pins colored by status: not due yet, due now, or overdue past a 7-day grace.

One approved estimate becomes years of scheduled work, without anyone re-quoting or re-entering a thing. Recurring quoting gets its own guide in Quoting Recurring Pressure Washing Work: Yearly House Washes, Monthly Storefronts and Quarterly HOAs.

Fewer Hands, Fewer Mistakes

The fewer times information is copied, the fewer chances there are to get it wrong. When the estimate becomes the job, which becomes the crew's job card, which becomes the invoice, there is one version of the truth from start to finish. The office spends less time on data entry and more time answering the phone and sending the next quote.
