Switching Pressure Washing Software Without Losing Your Customers or Your Season
Plenty of washing companies stay on software they do not like because switching sounds worse. The fear is reasonable: lost customers, missed recurring visits, confused crews and a week where nothing gets billed. With a plan, none of that has to happen.
Decide Based on the Demo, Then Plan the Move
If you have already worked through What to Look for in a Pressure Washing Software Demo and found something that fits better, the next step is planning the move itself. The best switches are boring: a few evenings of work and a clean cutover date.
Pick the Right Time
Timing matters more than anything else:
- Best: the slower months before your busy season, when you have evenings free and fewer jobs in motion.
- Good: the start of a month, so commercial billing for the old month finishes in the old system and the new month starts fresh.
- Avoid: the middle of the spring rush, or the week a large commercial contract renews.
Export Everything From the Old System
Before you cancel anything, export what you can from the old software:
- Customers and addresses. This is the most important file.
- Recurring schedules. Which customers are on which plan, and when each was last serviced.
- Open invoices. Anything still owed, so you can collect it.
- Job history. Keep this as a file for reference, even if you do not import it.
Save these somewhere safe. Even after you switch, you may want to look up what you charged a customer two years ago.
Import and Set Up
With PressureWashingBossPro, customers come in by CSV import, and imported addresses are placed on the map automatically. The full process is in CSV Import: Moving Your Customer List Into Pressure Washing Software. After the import:
- Set up your service list with your current prices.
- Add recurring plans to commercial and yearly customers with the right minimum days between visits, and enter the last visit date so the Waiting List knows what is due.
- Add job details to your regular customers: surfaces, square feet, stories, siding, method and access notes.
- Group multi-location clients and set commercial accounts to Monthly billing if they get one statement.
- Add employees with PINs and rig assignments.
Cards on File
Saved cards usually cannot be moved from one system to another, because card details are held by the payment processor, not exported in a file. Plan for customers to add their card again.
The simplest approach is to ask customers to add their card through the customer app before their next visit. Recurring commercial accounts and regular residential customers are the priority. For one-time customers, collect the card when they approve their next estimate.
Run Both Briefly, Then Cut Over
Pick a cutover date. Before it, keep running the old system while you set up the new one. After it, all new work goes into the new system only.
- Finish open jobs and invoices in the old system.
- Schedule everything from the cutover date forward in the new system.
- Keep the old system available read-only for a month or two if you can, for lookups.
Running both for longer than a week or two causes more confusion than it prevents. Set the date and commit.
Bring the Crew Along
Operators care about one thing: does the new app make their day easier? Show each one the crew app on their own phone before the cutover. Log in with the company login and their PIN, open a job card, tap navigation, take a test photo, tap Complete on a test job. Ten minutes per person is usually enough.
Point out what is better: job details and access notes on every card, jobs in route order, automatic texts so they never type messages.
Tell Your Customers
Customers mostly notice two things: messages coming from a different number or format, and being asked for their card again. A short message explains both: you have new software, reminders and invoices will look a little different, and here is how to add a card in the customer app.
Customers tend to take it as a sign the company is growing. Once alerts start arriving and the live route map works on wash day, the change sells itself.
The First Week After
In the first week, check the Waiting List daily to make sure every recurring visit landed where you expected, and watch for invoices from completed jobs. The setup steps are covered in more detail next in Setting Up Pressure Washing Software in Your First Week.
